  Position Overview/Summary  

The Part Time Office Assistant will be supporting two Senior Vice Presidents and two Client Service Associates in the daily activities of an investment advisory firm.  Responsibilities may also include direct contact with clients, vendors, and employees of the broker/dealer.  

Position Responsibilities
  • First point of contact; answering phones
  • Route client service issues, appointment requests or general inquiries to the appropriate team member
  • Ensure proper meeting documents are ready, branded and sorted in a professional manner
  • Greet clients that are coming to the office for meetings
  • Help to keep office environment clean and maintain order
  • Maintain inventory and order supplies for office
  • Assist advisors with client communication including written letters and email
  • Provide support with client mailings
  • Establish client files and maintain client data in CRM program
  • Process client account paperwork and process internal and external asset movements through platforms
  • Various report generation, editing and organization
  • Various compliance reporting functions


  • 1+ year(s) of operational experience within the financial services industry highly preferred
  • 2- or 4-year degree preferred
  • Maintain professional demeanor with staff and clients, in an environment with sensitive information where a high degree of confidentiality is required
  • Ability to take direction, problem solve and be flexible to work on multiple tasks throughout business day
  • Previous exposure to a customer service environment is a plus
  • Must be computer proficient and have experience with MS Office, Outlook, and other internet-based applications such as Customer Relationship and Document Management systems
  • Must have strong organizational and prioritization skills
  • Strong attention to detail
  • Ability to multi-task
